These terms govern bookings, enquiries and travel services arranged through Union Holidays.
Welcome to Union Holidays. These Terms and Conditions govern bookings, enquiries and travel services arranged through Union Holidays and the use of our website, www.unionholidays.lk.
By confirming a booking or making payment to Union Holidays, the customer, traveller or travel trade partner agrees to these Terms and Conditions.
1. Our Services
Union Holidays operates as a Destination Management Company providing travel-related services in Sri Lanka, which may include:
- Hotel and accommodation reservations
- Airport transfers
- Private transportation
- Sightseeing tours and excursions
- Tour guides and chauffeur guides
- Holiday packages and customised itineraries
- Group and MICE arrangements
- Attraction and activity bookings
- Airline or other transportation arrangements where applicable
- Visa and travel-related assistance where offered
Some services are provided directly by Union Holidays while others are provided by independent third-party suppliers.
2. Quotations
All quotations are based on the information provided at the time of enquiry and are subject to availability.
Unless specifically stated otherwise:
- A quotation does not constitute a confirmed booking.
- Hotel rooms, vehicles, guides and other services are not guaranteed until the booking is confirmed.
- Prices may change before confirmation due to supplier rate changes, currency fluctuations, taxes, government charges or other circumstances beyond our control.
- Any validity period stated in the quotation should be observed.
3. Booking Confirmation
A booking will be considered confirmed once:
- Union Holidays has issued written confirmation; and
- The required deposit or payment has been received within the specified time.
Union Holidays reserves the right to release any reservation if payment is not received by the stated deadline.

4. Payments
Payment terms will be advised with each quotation or booking confirmation.
Depending on the booking, Union Holidays may require:
- Full payment at the time of confirmation;
- A deposit followed by a balance payment; or
- Payment according to agreed credit terms for approved B2B partners.
Any bank charges, intermediary bank charges or international transfer costs shall normally be borne by the payer unless otherwise agreed.
5. Prices and Currency
Prices may be quoted in Sri Lankan Rupees, US Dollars or another agreed currency.
Where a booking involves currency conversion, significant exchange-rate movements may affect the final amount payable before full payment has been received.
Government taxes, entrance fees, fuel surcharges or statutory charges introduced or increased after quotation may also be added where applicable.
6. Changes by the Customer
Requests to amend a confirmed booking will be accommodated wherever reasonably possible.
Changes may result in additional charges due to:
- Hotel amendment fees
- Transportation changes
- Revised travel dates
- Changes to room categories
- Additional guests
- Supplier cancellation or rebooking charges
- Changes to attractions or activities
Any additional cost will be advised before the amendment is confirmed whenever practicable.

7. Cancellations and Refunds
All cancellations must be submitted to Union Holidays in writing.
Cancellation charges will depend on the services booked, date of cancellation and conditions imposed by hotels and other suppliers.

8. Hotels and Accommodation
Standard hotel check-in and check-out times apply unless otherwise advised.
Early check-in and late check-out are subject to availability and may involve additional charges.
Room configuration, adjoining rooms, specific views, floors, bedding preferences and similar requests cannot be guaranteed unless confirmed by the hotel.
Hotel classifications and star ratings are based on local standards and may differ from standards in other countries.

9. Transportation
Transfer and tour times are approximate and may be affected by:
- Traffic
- Weather
- Road conditions
- Security restrictions
- Public events
- Local regulations
- Circumstances beyond our reasonable control
Customers should allow adequate travelling time, particularly when connecting with flights or other scheduled transportation.
10. Flights and Other Scheduled Transport
Where Union Holidays assists with airline, rail or other scheduled transportation bookings, the terms and conditions of the relevant carrier will apply.
Schedule changes, cancellations, delays, baggage restrictions and denied boarding are subject to the carrier's conditions.
Union Holidays shall assist customers where reasonably possible but cannot accept responsibility for operational decisions made by airlines or other carriers.
11. Passports, Visas and Entry Requirements
It is the traveller's responsibility to ensure that they possess:
- A valid passport
- Required visas or Electronic Travel Authorisations
- Return or onward travel documents where required
- Required health documentation
- Any permits necessary for travel
Union Holidays may provide general assistance or information; however, visa approval and entry into Sri Lanka remain entirely at the discretion of the relevant immigration authorities.
12. Travel Insurance
We strongly recommend that all travellers obtain comprehensive travel insurance covering, where appropriate:
- Medical treatment
- Emergency evacuation
- Trip cancellation
- Travel interruption
- Lost or damaged baggage
- Personal liability
- Flight disruption
Union Holidays is not responsible for losses that could reasonably have been covered by appropriate travel insurance.
13. Health and Special Requirements
Travellers should inform Union Holidays before booking of any mobility requirements, dietary requirements, allergies or other special arrangements that may affect the provision of travel services.
We will make reasonable efforts to accommodate such requests but cannot guarantee that all suppliers will be able to fulfil them.
14. Children
Children must be accompanied and supervised by a responsible adult unless a specific arrangement has been approved in advance.
Age restrictions imposed by hotels, attractions, activities or transport providers will apply.

15. Activities and Excursions
Certain activities may involve inherent risks and may be subject to age, health, fitness, height or weight restrictions.
Travellers are responsible for determining whether they are physically capable of participating in an activity and must follow all safety instructions provided by the operator.
16. Customer Conduct
Travellers are expected to respect Sri Lankan laws, local customs, cultural and religious practices and the rules of hotels, attractions and service providers.
Union Holidays reserves the right to discontinue services to any traveller whose behaviour creates a safety risk, causes serious disruption, damages property or violates applicable laws.
Costs arising from such behaviour will be the responsibility of the traveller.
17. Third-Party Suppliers
Union Holidays works with hotels, transport providers, guides, airlines, attractions and other independent suppliers.
While we select suppliers with reasonable care, such suppliers remain responsible for the services they provide.
Their individual booking, cancellation and operational conditions may apply in addition to these Terms and Conditions.
18. Changes Beyond Our Control
Travel arrangements may occasionally be affected by circumstances beyond the reasonable control of Union Holidays, including:
- Severe weather or natural disasters
- Floods or landslides
- Government actions
- Civil disturbances
- Epidemics or pandemics
- Strikes
- Airport or airline disruptions
- Road closures
- Security situations
- Unexpected closure of attractions
- Other force majeure events
In such circumstances, Union Holidays will make reasonable efforts to provide suitable alternatives, but additional costs may be payable by the customer.
Understanding Our Liability
Our responsibilities and limitations regarding travel services.
19. Limitation of Liability
Union Holidays will exercise reasonable care in arranging travel services.
To the extent permitted by applicable law, Union Holidays shall not be responsible for loss, injury, delay, inconvenience or additional expense caused by circumstances beyond our reasonable control or by independent third-party suppliers.
Nothing in these Terms is intended to exclude any liability that cannot legally be excluded under applicable law.
20. Lost or Damaged Property
Travellers are responsible for their personal belongings.
Union Holidays cannot accept responsibility for items lost, stolen or damaged at hotels, in vehicles, at attractions or during travel, except where liability is established under applicable law.
We will, however, make reasonable efforts to assist travellers in recovering lost property.
21. Complaints
If a problem occurs during a journey, customers should notify Union Holidays or our local representative as soon as possible so that we have an opportunity to resolve the matter.
Any formal complaint following completion of travel should be submitted in writing with relevant supporting information.
22. Website Information
Union Holidays makes reasonable efforts to ensure that information published on www.unionholidays.lk is accurate and current.
Travel information, photographs, hotel information, opening hours, entrance fees, visa requirements and other details may change without notice.
Information provided on the website should therefore be considered general guidance unless specifically confirmed as part of a booking.

23. Intellectual Property
Unless otherwise stated, content appearing on www.unionholidays.lk, including text, branding, designs and original material, belongs to Union Holidays or is used with appropriate permission.
Such material may not be commercially reproduced without prior written consent.
24. Privacy
Personal information collected by Union Holidays will be handled in accordance with our Privacy Policy.
Jurisdiction & Disputes
These Terms and Conditions are governed by the laws of Sri Lanka.
25. Governing Law
These Terms and Conditions shall be governed by and interpreted in accordance with the laws of Sri Lanka.
Any dispute that cannot be resolved amicably shall be subject to the jurisdiction of the competent courts of Sri Lanka, unless otherwise required by applicable law.
